Employer terms

Thank you for offering Build Your Inner Voice to your team. These terms explain how workplace memberships work, what you can expect from us, and what we ask of you. They sit alongside our terms and conditions, which cover how each person uses their membership, and our privacy notice. Where the two differ for an employer, these terms apply.

1. Who this agreement is between

This agreement is between Build Your Inner Voice and your organisation. It is a business agreement, so the 14 day cooling-off period that applies to consumers does not apply here.

2. What your team receives

Each person you give a place to receives the full membership: personalised affirmation tracks, weekly affirmations, the 30 day challenge, the listening tracker, welcome guidance, 5 minute resets, team sessions and the 66 day planner. You receive one monthly invoice for the whole team.

3. Pricing

Workplace pricing is £15 per person per month from 5 memberships, £14 from 10, and £13 from 20. Your rate is based on the number of memberships you hold.

Workplace memberships start at 5. When someone leaves, you can give their place to someone else, so your number stays the same. If your team ever needs fewer than 5 places, just let us know. We will close the workplace membership at your next renewal, and help anyone who would like to carry on move to an individual membership.

4. Billing

You pay monthly in advance, and your billing month runs from the date you signed up. For example, if you signed up on the 27th, each billing month runs from the 27th to the 26th of the next month. Your subscription renews automatically each month until it is ended.

You pay for the memberships you hold, whether or not every place has been claimed. That keeps each place ready for whoever you give it to next. You can change the number of memberships on your team page at any time:

Prices are in pounds sterling. We are not VAT registered, so no VAT is charged. If that changes, we will tell you before it affects an invoice. If we change our prices, we will email you at least 30 days before the new price applies. Founding Employer rates are protected as set out in section 13.

5. If a payment is missed

We understand invoices sometimes get held up. If a payment is 7 days overdue, your team's memberships are paused and we email you to let you know. Once the payment goes through, everything switches back on automatically, usually by the next morning. If a payment is still outstanding 30 days after the pause, the subscription is cancelled and your team's memberships close.

6. Your team code

You receive one team code, which works for as many people as the memberships you hold. Once all your places are claimed, the code stops accepting new people, so it can never be used for more places than you have. Please share it only within your organisation.

If you think the code has been shared more widely, email us and we will send you a new one straight away. Anyone already on your team keeps their membership, and you can free up any place taken by someone outside your team from your team page.

7. Your team's privacy

Each membership belongs to the person using it. What they write, what they choose, which tools they use and how often they listen stay private to them. This privacy is a big part of why people feel comfortable using it.

Here is what you can see:

We never tell you whether a particular person has used their membership, what they wrote or chose, or anything about the safety check. We would ask that you do not ask anyone about their use either. People get the most from it when they know it is theirs.

8. When someone leaves

You can free up a membership at any time from your team page. That person's membership ends, and their place is ready for someone new. Your invoice stays the same, because the place is still yours.

9. Fair use

Memberships are for the personal use of the person who claimed them. The fair use limit applies to personalised affirmation tracks: up to 3 per person per day. Memberships cannot be shared, resold or passed to someone else. To move a place to a new person, free it up on your team page and give the code to them.

10. What this service is, and what it is not

Build Your Inner Voice is a personal development and wellbeing tool built around affirmations. We think it works best when everyone is clear about what it is, so please share this section with whoever introduces it to your team.

It is a wellbeing tool, not healthcare. It does not diagnose, treat or manage any physical or mental health condition. It is not therapy, counselling, coaching or a clinical service, and it is not provided by clinicians.

It is not a crisis service. It is not monitored in real time and cannot respond to an emergency. If someone is at risk of harm, they need emergency services or a crisis line. It helps to mention this when you introduce it.

It is not a way of monitoring anyone. Everything a person writes goes through an automatic safety check, so that we never create something unsuitable and so that people see helplines when there are serious signs. In the most serious cases, Build Your Inner Voice is alerted so that we can decide whether to reach out to the person directly. You are never told. The check is not a clinical or risk assessment, so please do not rely on it to notice that someone is struggling. We record whether each member used a tool in a given month, and we use that only for the team totals described in section 7.

It works alongside the support you already offer. These memberships are an extra for your team. They do not replace or reduce your duty of care, health and safety responsibilities, employee assistance programme or occupational health support, which stay with you. Please do not describe the service to your team, or to anyone else, as a replacement for any of them.

Using it is a free choice. Each person decides whether to use their membership, what to write and when to listen. We always encourage anyone who is struggling to seek professional support.

We cannot promise results. Affirmations are a practice, and everyone's experience is different. Nothing on our website, in our emails or said by us is a promise of a particular result for any person or for your organisation.

11. Ending the agreement

You can end the agreement at any time by emailing us. Your team keeps full access until the end of the billing month you have already paid for, and then the memberships close. We will email you to confirm the end date, and again when your team's memberships are about to close.

We can also end the agreement from your next renewal by letting you know in writing. We may end it sooner if the team code is being misused, and we will always talk to you first.

12. Keeping things running

We work hard to keep everything running smoothly. Parts of the service rely on other companies, so occasionally it may be unavailable for maintenance or for reasons outside our control, and neither of us is in breach of these terms because of something genuinely outside our control. If an outage means your team loses meaningful use of their memberships for a while, tell us and we will put it right, which may include extending your memberships.

13. Founding Employer Partners

If you joined as a Founding Employer Partner, your founding rate stays with you for as long as you keep at least 5 active memberships and your subscription continues without a break. The rate belongs to your organisation and cannot be transferred to another organisation, including after a sale or merger, unless we agree.

14. Tax

Many businesses can treat employee wellbeing costs as a business expense. We are not tax advisers, so please check your own circumstances with your accountant.

15. Our responsibility to you

We will always take responsibility where the law says we must. Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.

Beyond that, because this is a business agreement:

If something is not right, please tell us first. We would always rather put it right.

16. Data protection and data sharing

Who is responsible for what. Build Your Inner Voice ("we") and your organisation ("you") each act as an independent controller of personal data. We are responsible for each person's membership information and handle it as set out in our privacy notice. You are responsible for the information you receive from us. We do not process personal data on your behalf, so no processor agreement is needed.

What you share with us: your organisation's name, your contact's name, email address and phone number, your billing details through Stripe, and any employee email address you enter on your team page to free up a place. Each person gives us their own email address when they join.

What we share with you: the information described in section 7. That is the email address and claim date of each person who has joined, and whole-team totals, including the share of people saying a tool helped and the share of 30 day check-ins showing people felt calmer. Small numbers are always held back so that no one can be identified.

17. General

These terms, together with our terms and conditions and privacy notice, are the whole agreement between us. If any part turns out to be unenforceable, the rest still applies. If our business is transferred to someone else, this agreement may transfer with it, and we will let you know. This agreement is governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

18. Updates to these terms

We update these terms from time to time as the service grows. The latest version is always on this page, with the date it was last updated at the top. Changes to your price are the exception: we will always email you at least 30 days before a new price applies.
